Running a shift with Ops

What to watch during a shift, how to hand it off, and how points and the morning digest work.

Right now

  1. Open Right now. It shows the shift that is running, or the next one once it is within 60 minutes of starting.
  2. Read the three numbers at the top: items checked on open lists, overdue follow-ups, and how many of the crew got the lineup.
  3. Look at the cards below for the lineup, checklists, open follow-ups, the 86 list and any handoff waiting for you.

The page refreshes itself every 15 seconds, so you can leave it open on a screen in the office. Between shifts it says "No shift is running."

The lineup

  1. On the Lineup card, check who has checked in and who has got it. Anyone who missed a must-read shows what they missed.
  2. Press Add an update on that card. It opens the Lineup tab for the shift, where you add what is new.
  3. To tell the crew about an open follow-up, open the Lineup tab, find it under Open follow-ups and press Add to lineup.
  4. To 86 something, open the Lineup tab, type it in the box that says 86 an item and press 86 it. Press the × on it to clear it.

The 86 list carries over from shift to shift until you clear it.

Checklists

  1. The crew tick items on the tablet. On Right now, press a list to see who ticked what, and when.
  2. When a list needs sign-off, press Sign off. If items are not done, tick the box that confirms you are closing with them open.

Whatever is still open goes into tonight's handoff. The closing manager can also sign off on the tablet with their PIN.

Follow-ups

  1. Open Follow-ups. The crew report problems from the tablet, and you can too.
  2. To log one, choose a category, type in What needs doing? and press Log it. Add a photo if it helps.
  3. On each open item, pick an owner and a due date.
  4. Press Done when it is fixed. If you will not fix it, press Won't fix, type a reason in the box that opens and press Save.

Safety items stand out in the list, and an item past its due date is marked Overdue.

Handoff

  1. Near the end of the shift, open Handoff and pick your daypart.
  2. Write what the next shift needs to know in Handoff note.
  3. Press Save handoff. If you change it later, press Save handoff again.
  4. The next manager reads it and presses Acknowledge, here, on Right now, or on the tablet with their PIN.

Unfinished checklists, open follow-ups, the 86 list and lineup gaps are attached for you. Once someone acknowledges it, it is locked.

Points

  1. Open Points. Your crew earn points for the checklist items they tick and for bounties.
  2. Under Approvals, press Confirm on a finished bounty, or Approve or Decline a reward request.
  3. Under Bounties, type a job, set its points and press Post bounty.
  4. Under Rewards, press Add perk to build the menu. A new menu also offers Add starters.

The week runs Monday to Sunday and resets Monday at 4 AM. Each person can give up to 10 kudos a day. Rewards are perks only, never cash.

The morning digest

  1. Open Setup → Ops settings.
  2. In the Daily digest card, choose a Send time. It starts at 7:00 AM and can be any 15-minute slot from 4:00 AM to 11:45 PM.
  3. Untick Send me the daily digest for this venue if you do not want it.
  4. Press Send me today's digest now to see one right away.

It is one email a morning about the day before: what was not done and what needs your decision. A quiet night sends nothing.
